Administrative Coordinator

Location: 100 Morse St, Norwood MA

Position Overview:

​

Administrative Coordinator assists the Office (Operations) Manager with daily operations at the Norwood Center.

 

Reception

​

  • Answering phones, taking and relaying messages for Co-Founders, Office Manager, and BCBA’s.

  • Screen new inquiry calls from potential Clients.

  • Call parents for Supervisors when learner is late or sick.

  • Create a welcoming environment greeting families and Crew daily.

  • Collect and distribute mail between three Centers. Administration

 

Administration​

  • Pre-screen applicant resumes, set up interviews, and assist in interview process for BC.

  • Ensure Center runs smoothly on daily basis. Including observation of Crew to maintain professional image

    and appropriate behavior at all times. Address any concerns directly with Office Manager.

  • Answer HR questions and follow up with Office Manager for ones not known.

  • Maintain a clean and healthy environment at Center.

  • Ensure all supplies are adequately stocked in bathrooms and classrooms.

  • Stock edibles daily for ABA crew.

  • Keep inventory of supplies. Submit “weekly” to Office Manager for approval and ordering.

  • Oversee and reconcile petty cash distribution for Center; submit to Office Manager.

  • Ensure annual inspections on fire systems are scheduled and performed.

  • Monitor the center for safety hazards and address immediately if found.

  • Assign free staff to projects, IOA, cleaning, or send home, etc.

  • Keep track of all free staff and record assignments in Central Reach.

  • Track daily attendance, PTO, and sick days of staff and patients.

  • Collect new availability sheets during each college semester and summer.

  • Make schedules for all Norwood staff and patients.

  • Assist in the management of new hires in training. Schedule trainers daily and assign weekly schedules to

    new hires for afternoon sessions.

  • Keep track of all new hires training completion and staff RBT competency assessments. Print training

    certificates and have Vaughn sign training and competency assessments. Scan and email to staff members

    for submission.

  • Track progress and completion of RBT certification.

  • Give tours to prospective families of the facility.

  • Process all new patient intakes. Submit intakes packages to insurance liaison for submission. Coordinate

    and schedule new learner assessments and start dates.

  • Assist BCBA’s in disciplinary situations with staff and refer to office manager when appropriate.

  • Monitor HIPAA compliance, ensure no photos/videos taken without consent, files stored properly, etc

  • Schedule Vendors, as needed, for maintenance and repair (plumber, electrician, pest control, copier tech, alarm company, Comcast, landscaper, etc.)

  • Quality control on cleaning vendor; communicate issues.

  • Submit time off requests to the Office Manager for approval; post on office calendar

Light Janitorial

​

Until more patients are being seen within the Norwood clinic the Administrative Coordinator will be expected to vacuum, take out the trash, fog or delegate to the last person in the building to fog nightly, and disinfect high trafficked areas. When there are more patients being seen a janitor will be hired and the Administrative Coordinator will be Behavioral Connection’s liaison to the person.
